Fleet management software (FMS) or a general-purpose ERP: which should you choose?

When organising their vehicle fleet, many business leaders ask the same question: could we simply manage our vehicles in our existing ERP?

It is tempting to centralise everything. Comparisons such as Avrios versus a general-purpose ERP for fleet management are common. However, managing employees, accounts or stock is very different from the operational management of a fleet of moving vehicles.

The promise—and limits—of an ERP for fleet management

An ERP (Enterprise Resource Planning) system such as SAP, Microsoft Dynamics or Odoo excels at centralising company data. In theory, incorporating the fleet makes it possible to link vehicle costs directly to the general ledger.

In practice, using an ERP to manage a vehicle fleet encounters major obstacles:

  • Extreme rigidity: ERP fleet modules are often basic. They record registration numbers and purchase prices but cannot dynamically handle mileage alerts, tyre changes or fines.
  • Bespoke development costs: bringing an ERP up to the level of a specialist tool requires days of custom development, charged at high rates by integrators.
  • Unsuitability for field work: the ERP is an office tool, while your drivers are on the road. Mobile ERP interfaces are often cumbersome and require a perfect internet connection.

The decisive advantage of an FMS (Fleet Management System)

Specialist fleet software is designed exclusively around vehicles and drivers. While solutions such as Avrios emphasise accounting processes, a modern FMS derives its real strength from operational interaction.

The Tuloss Fleet driver web interface lets drivers view missions and submit a mileage reading, receipt or incident. An internet connection is needed to send data. Offline mode and local synchronisation are not available.

Conclusion: connect rather than merge

The choice need not be a strict opposition. In 2026, the best technical strategy is to use a dedicated, agile FMS for operational management—maintenance monitoring, driver communication and location tracking—while exporting consolidated financial data to your ERP for accounting.

By choosing a modular solution, with options selected à la carte, you equip your SME with a specialist tool while retaining control over your software budget and the features you actually use.
